Job Description

The University of Nevada, Reno's Counseling Services is seeking applications for an Administrative Assistant 2. ***This position does not provide layoff rights and is contingent upon funding.** The primary responsibility of this position is to provide front desk administrative support to Counseling Services. The person in this position will be the first contact most clients have when calling or walking into our office. This position will be responsible for answering multi-line phones, scheduling appointments, assisting crisis and urgent care walk-ins with seeing a counselor and checking in clients. This role is also responsible for explaining services to students and other members of the campus community over the phone and in person.

Administrative duties for this position include scanning confidential client information into our database, typing documents, copy/filing, maintaining waiting room and session room cleanliness, shredding and running errands on campus and data entry into our computer scheduling program. All of these responsibilities require strict attention to detail and the skills necessary to multi-task, prioritize and the ability to stop in the middle of a project and return to it with ease. The Administrative Assistant 2 may also be asked to assist clinicians with preparing materials for groups, outreaches or other activities and will be responsible for closing office procedures each evening. Counseling Services provides mental health services to students of UNR. This position may be exposed to tense or emotional situations at the front desk, including clients presenting to the front desk in a mental health crisis. Training is provided with handling these situations and support is always available. Other various duties may be assigned by the Counseling Services staff.

Teamwork is required; adherence to confidentiality guidelines strictly enforced; some independent judgement, strong interpersonal skills and good communication skills. The ideal candidate for this position must be able to work independently at the front desk and on rare occasions, work efficiently and remain professional in a potentially stressful environment.

Required Qualifications

  • Graduation from high school or equivalent education and two (2) years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR

  • One (1) year of experience as an Administrative Assistant I in Nevada State service; OR

  • An equivalent combination of education and experience.

Preferred Qualifications

  • Experience in customer service work and/or reception

  • Experience and/or training to work with potentially stressful situations and/or persons in crisis.

  • Ability to handle multiple job assignments and strong organizational skills.

  • Skill in using Microsoft programs.

  • Must be able to multi-task and work well independently and in a group.


Schedule

All candidates must be available to work the following schedule, this is subject to change based on organizational needs:

Monday through Thursday - 10:00 a.m. to 7:00 p.m.

Friday - 8:00 a.m. to 5:00 p.m.

  • Once monthly during the academic semester, we request this position to shift their Wednesday schedule to 9 a.m. – 7 p.m. and Thursday to 11a.m. – 7 p.m. in order to attend a monthly, mandatory staff Diversity training.

  • During break periods, our department transitions to a break schedule. Summer break is typically 14 weeks, Winter Break is typically 5 weeks and Spring Break is 1 week. (Exact dates may vary each semester).

All candidates must have the ability to transition their schedule to the following during Summer, Winter and Spring breaks:

Monday through Friday - 8:00 a.m. to 5:00 p.m.

**Each scheduled workday over six consecutive hours has an unpaid 1-hour lunch period **

Compensation Grade

Grade 25 (Entry, Step 01 $20.42/hr. - Step 03 $22.13/hr.)


The classified employee pay scale is divided into 10 steps. Most employees start at a step 1 and are eligible for an annual step increase with satisfactory performance, until they reach the maximum, step 10. Initial step placement is based on experience and qualifications. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets.
