Schedule: This position will require you to be in the office 100% of the time with normal operating hours for the role being 8:30 AM – 4:00 PM, Monday – Friday each week, with a 30-minute daily lunch break. This position is 35 hours a week, with full-time benefits.

Pay Rate: $24/hour

Position Summary:

This role will support the office services team, reporting to the Director of Human Resources and taking daily direction from the Office Administrator. The Back Office Coordinator will be a vital team member in supporting our corporate office, helping the team ensure efficient office operations, and fostering an environment and service level that supports the office and our associates.

Essential Job Functions:

  • Mailroom: Receive and sign for all mail, USPS, FedEx, UPS, etc., as well as distribute all deliveries. Enter outgoing packages into the FedEx and UPS systems. Assist associates with all inbound and outbound shipping needs, including packing of shipments, providing quotes, and assisting with information on arrival times or requirements for international packages.
  • Monitor supplies for shipping, office, and kitchen; order and restock when needed.
  • Daily preventative maintenance checks by conducting office walk-throughs. Perform minor repairs when necessary, including replacing light bulbs. Inform the Office Administrator if a repair company needs to be called.
  • Provide support and assistance to all associates moving boxes, furniture, displays, etc.
  • Provide daily cleaning assistance in common areas, bathrooms, and associate breakroom as needed.
  • Ability to climb, kneel, or stoop on a regular basis to perform duties. Ability to regularly lift and move up to 50 pounds.

Minimum Requirements:

  • High school diploma required; some college experience a plus
  • Prior experience working in a mailroom or receiving, and/or as an office porter is required

Skills, Knowledge, and Abilities:

  • Job Knowledge/Technology: Ability to use a computer and other office and mailroom machines, along with a working knowledge of Microsoft Office Suite.
  • Customer Focus: Act with the customers in mind, establish and maintain effective relationships with associates.
  • Initiative: Plan work and perform tasks without detailed instructions; respond to situations as they arise with minimal supervision and create solutions to problems.
  • Communication: Write and speak effectively; ask questions to ensure understanding; exercise a professional approach with others.
  • Organization: Ability to determine urgency in order to manage multiple projects in a practical way. Manage transition from task to task effectively.
  • Collaboration and Teamwork: Work efficiently with others to get the job done, respond positively to instructions and procedures, and able to work well with staff.
