Role Description: Chief Administrative Officer (Part-Time, Remote)

We are seeking a proactive, strategic, and highly organized Chief Administrative Officer (CAO) to oversee and coordinate administrative operations and functions across our organization. This is a part-time remote position , ideal for an experienced professional who thrives in a flexible yet impactful leadership role.

The CAO will report directly to executive leadership and play a key role in managing internal operations, streamlining administrative procedures, and ensuring efficient communication across departments. The ideal candidate is a hands-on leader with a passion for operational excellence, organizational development, and service-driven results.

Key Responsibilities:
  • Provide leadership and oversight of all administrative functions, ensuring consistency, compliance, and operational efficiency across the organization.
  • Develop and implement administrative systems, policies, and procedures to support business objectives and strategic goals.
  • Serve as a primary liaison for internal and external stakeholders, ensuring timely and professional communication.
  • Support executive leadership with scheduling, reporting, data management, and project coordination.
  • Oversee day-to-day administrative operations, including document management, vendor coordination, and office logistics (virtually).
  • Ensure customer service excellence in all communication touchpoints, both internal and client-facing.
  • Monitor and evaluate the performance of administrative systems and suggest improvements for increased productivity and effectiveness.
  • Lead or contribute to special projects, process audits, and cross-functional initiatives as assigned by executive leadership.
  • Maintain high standards of confidentiality, integrity, and discretion in all aspects of the role.
Qualifications:
  • Bachelor’s degree in Business Administration , Organizational Leadership , or a related field; Master’s degree preferred but not required.
  • 5+ years of experience in administrative leadership or senior operations roles.
  • Proven experience managing and improving administrative processes in a remote or hybrid work environment.
  • Excellent organizational, time management, and multitasking skills with strong attention to detail.
  • Exceptional verbal and written communication skills, with the ability to interact professionally with diverse stakeholders.
  • Proficiency with productivity tools such as Microsoft Office Suite , Google Workspace , project management tools (e.g., Trello, Asana), and virtual communication platforms (e.g., Zoom, Microsoft Teams).
  • Demonstrated ability to lead projects, make data-informed decisions, and drive results.
  • Customer-service mindset with a solutions-oriented approach to problem-solving.
  • Ability to work independently, exercise good judgment, and prioritize in a fast-paced, remote setting.
