Job Details

The EA will oversee administrative operations, manage projects, and assist with financial and logistical tasks. This position requires a detail-oriented individual with a strong foundation in project management, accounting, customer service, logistics, and supply chain processes. The ideal candidate will thrive in a fast-paced environment, possess strong communication skills, and be adept at managing multiple responsibilities.

Key Responsibilities:

Project Management: Coordinate and oversee key internal projects, ensuring timely and efficient execution. Manage project timelines, resources, and communication across departments to ensure alignment with organizational goals.

Accounting & Finance Support: Assist with basic accounting functions such as invoicing, expense tracking, budget preparation, and financial reporting. Help maintain accurate financial records and assist with month-end closing processes.

Customer Service & Support: Serve as a point of contact for customer inquiries, ensuring high-quality service and timely resolution of issues. Collaborate with the customer service team to manage client feedback, returns, and order fulfillment processes.

Logistics & Supply Chain Management: Help with inventory tracking, order fulfillment, and coordination with suppliers to ensure product availability and timely delivery. Oversee supply chain processes to ensure cost-efficiency and minimize delays.

Administrative Support: Manage office operations, including scheduling meetings, handling correspondence, organizing office supplies, and maintaining filing systems. Ensure office policies and procedures are followed consistently.

Cross-functional Collaboration: Work closely with the VP of Operations and other departments (e.g., sales, marketing, product development) to streamline processes, improve operational efficiencies, and support company growth.

Data Analysis & Reporting: Provide regular reports on office activities, project statuses, budget updates, and performance metrics to the VP of Operations.

Required Skills & Qualifications:

Bachelor's degree in Business Administration, Operations Management, or a related field.
Minimum 3-5 years of experience in office management or a similar role, preferably within the health and wellness or consumer goods industry.
Strong knowledge of project management principles and tools (e.g., Asana, Trello, Microsoft Project).
Familiarity with basic accounting practices and financial reporting.
Proven ability to manage logistics and supply chain activities, with an understanding of inventory management and order fulfillment processes.
Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.
Detail-oriented with strong organizational and problem-solving skills.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and other business management software.
Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
A passion for health and wellness is a plus.
Preferred Qualifications:

Experience with customer relationship management (CRM) software and enterprise resource planning (ERP) systems.
Knowledge of industry-specific regulations and compliance standards in the health and wellness space.
Certifications in project management (e.g., PMP, Agile) are a plus.
