GENERAL PURPOSE

Performs a variety of clerical and receptionist duties.

ESSENTIAL JOB FUNCTIONS

  • Meet performance standards established with the employee's manager;
  • Job attendance is required, except for authorized leave;
  • Operate the main phone line for Public Works;
  • Assist and direct visitors/callers;
  • Maintain a roster of city telephone numbers;
  • Input invoices in Onbase and Caselle;
  • Scan documents into Onbase;
  • Makes reservations and arranges conferences and/or meetings;
  • Performs work for other departments as necessary, including typing, filing, copying, scanning, etc.;
  • Maintain Cemetery Database and Maps. Assist the public regarding cemetery plot information and work with vendors for funeral arrangements.
  • Rent hydrant meters, collect readings, and process refunds.
  • Other duties as assigned.

MINIMUM QUALIFICATONS

  1. Education and Experience:
  • High school diploma or equivalent with (2) years of general office work experience, including routine customer service, clerical duties, and billing.
  • Prefer experience in municipal government, public works, and cemetery programs.
  1. Special Qualifications:
  • Must possess and maintain a valid Utah State driver's license with periodic verifications by the City.
  1. Knowledge, Skills and Abilities:
  • Ability to type 45 WPM
  • Working knowledge of word processing equipment;
  • Computer basics; Microsoft Office proficiency preferred, and the ability to work on multiple databases;
  • Modern office practices and procedures;
  • Secretarial procedures and methods related to filing and documenting;
  • English composition, spelling, grammar, and related correspondence skills;
  • Knowledge of how to navigate social media websites;
  • Ability to communicate effectively verbally and in writing;
  • Ability to develop effective working relationships with city officials, department heads, local professionals, fellow workers, and the general public;
  • Working knowledge of telephone etiquette;
  • Knowledge of standard office and telephone equipment;
  • Professional appearance and attitude.
  1. Working Conditions: Employee(s) in this position perform in a typical office setting with appropriate climate controls. Tasks require a variety of physical activities, not generally involving muscular strain, such as walking, standing, stooping, sitting, and reaching. Talking, hearing and seeing required in the normal course of performing the job. Common eye, hand, finger dexterity required to perform essential functions. Mental application utilizes memory for details, verbal instructions, emotional stability, critical thinking and creative problem solving. Periodic local travel required in course of performing portions of job functions. Considerable exposure to stress as a result of human behavior, frequent deadlines, and the general demands of the position.
