Reputable Investment Management firm based in New York City is seeking a highly organized and proactive Administrative Assistant to provide support to the Investor Relations (IR) team, consisting of two team members and the Head of Business Development.

This role will primarily focus on administrative duties, with potential for growth into a Junior IR role over time. The successful candidate will support daily operations, ensuring efficient communication and coordination between the company and its investors. A strong background in finance is preferred, and experience with CRM systems is highly desirable. The team uses Dynamo, and training will be provided for candidates familiar with systems such as Salesforce. This role demands exceptional attention to detail, as the team handles numerous inbound requests, schedules meetings, updates internal trackers and CRM systems, and arranges travel. The role is fast-paced, requiring flexibility and the ability to manage competing priorities.

The position is paying up to $100K and the company would like to interview ASAP!

Hours: 7:30am -5pm

Key Responsibilities:

  • Provide comprehensive administrative support to the Investor Relations team, including scheduling meetings, preparing agendas, and maintaining relevant files and documents.
  • Manage the calendar and daily tasks for the Director of Investor Relations.
  • Ensure timely processing of documentation related to investor transactions and communications.
  • Maintain and update investor contact databases, ensuring accurate and up-to-date records.
  • Assist with tracking and compiling feedback from investors and analysts, and prepare summaries.
  • Aid in the preparation and distribution of investor communications and monthly materials.
  • Support gathering, entering, and analyzing data for IR meetings.
  • Manage scheduling and logistics for global meetings, coordinating across varying time zones.

 

Skills & Qualifications:

Experience:

  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and other office productivity tools.
  • Experience using and maintaining data in CRM platforms (Salesforce or similar).
  • Previous administrative or support experience in investor relations, data entry, or corporate communications at a financial firm is required.
